Driving User Adoption and Business Optimisation in Sanlam through ANCILE uPerform

The launch of a complex, enterprise-wide SAP system entailed training thousands of employees dispersed over a wide geographic area. As part of the financial services sector, we also required a learning solution that reinforces a culture of compliance and rapidly creates, updates, and simulates training on our ever-changing systems, legally required processes and our financial products. ANCILE uPerform (also known as SAP Productivity Pak) answered the call, and the results were impressive. For example, a 5-week classroom training was reduced to a 3-week blended learning offering (Instructor led and eLearning), resulting in an overall saving of R153 500 per training intervention per annum. Some of the valuable lessons learned in this process focused on:

The City of Cape Town is faced with an environment that is becoming more complex and interdependent because of the increase in the volume and total value of projects being implemented. Discussions and workshops across the organisation previously identified a broad requirement in relation to project portfolio management (PPM) processes and practices to improve the planning, selection and execution of capital projects thus improving capital expenditure. Project portfolio management enables the alignment of projects with organisational strategy, thus enabling the effective allocation of resources to projects and thereby improving delivery. Project portfolio management (PPM) is an important discipline which can deliver positive impact to an organisation, providing senior management with reliable information to support decision-making processes and enabling operational transparency of projects. The internal PPM project was an innovative first in local government in South Africa. Using SAP PPM functionality, it entailed a holistic multi-disciplinary approach to the design, implementation and support of capital projects from a people, process and technology perspective.

The wide-spread myth that ERP security is limited to SOD matrix has been dispelled lately and seems more like an ancient legend now. Within the last 9 years SAP security experts have spoken a great deal about various attacks on SAP from RFC interface, SAPROUTER, SAP WEB and SAP GUI client workstations. Also, the programs developed in SAP's own language – ABAP, which exists in almost every company to customize ERP solutions, can store program vulnerabilities left by unqualified developers or special backdoors which can help insiders to gain illicit access to business data. Interest in the topic has been growing exponentially: in 2007, there would be 1 report on SAP at the technical conferences dedicated to hacking and security, whereas in 2012 there were more than 30 of them already. A variety of hack tools has been released that prove the possibility of SAP attacks and simplify them for cybercriminals. According to the statistics of vulnerabilities found in business applications, there were more than 100 vulnerabilities patched in SAP products in 2009, while it grew to more than 500 in 2010. By January, 2013, there are more than 2500 SAP security notes about vulnerabilities in various SAP components. In 2016, following the USIS SAP cyber hack in 2015, the US-CERT (United States Computer Emergency Readiness Team) issued an alert (TA16-132A) on an SAP vulnerability that was closed 5 years ago. Today, the total number of Vulnerabilities on SAP run in excess of 3800. At the 2016 Gartner Security and Risk Summit held in MD US, ERP security came up as a trending topic. At least one senior Garner analyst delivered a talk around this subject, emphasizing the importance of ERP security Without a doubt, SAP takes the security of its products very seriously, with a comprehensive secure software development lifecycle process, clear quality and security standards for software development, and a dedicated Product Security Response process in place as the most visible evidences of its commitment. However, implementation configurations as well as zero day vulnerabilities could leave room for back doors and organizations need to understand how to bridge the gap between SAP Security and IT Security. Most of these vulnerabilities allow an unauthorized user to gain access to all the critical business data, so it is necessary to think about implementing a specific system of SAP security. Unfortunately, many information security officers are scarcely informed about the security of business applications like SAP. Our talk is meant to give a case study of our oganization on how we run SAP and the methodologies we have put in place to help prevent cyber-attacks on our landscape at Royal Swaziland Sugar Corporation.

A practical approach to Government Service Delivery at a City / Metro level

Customer business challenge:
  • Expensive and outsourced credit control function
  • Unreliable manual dispatch and field processes
  • Disconnected systems (not integrated)

  • Ineffective reporting
Approach used in the solution: The solution started with in-sourcing of the Credit Control function, especially management of the field workforce. Key goals of the project included an end-to-end integrated solution between SAP WSO (ClickSoftware), SAP PM and OpenText. Elimination of a paper based system and manual data capturing through auto-scheduling and dispatch of work to the field Reduction of operational costs through easier management of day-to-work field work
  • High visibility of field resources and job locations
  • Outcomes needed to positively impact business challenges like: data integrity, customer service
The Business Solution:
  • We implemented the ClickSoftware platform, including the scheduling and optimisation engine, together with rugged devices running ClickMobile in the field
  • Credit Control field tasks include: Delivery of notices to clients, Dis-connections and Re-connection of service
  • Tasks are released from SAP PM and ClickSchedule auto-schedules to the best resource based on location and skill to achieve the most efficient spread of work for the day (the ‘schedule')
  • ClickSchedule then dispatched work to the field through the Mobile platform, so technicians receive all work electronically and push back their updates directly into ClickSoftware during the day
  • Updates on work completed are pushed back into SAP PM daily, and in turn these updates go into SAP ISU and SAP FI-CA
Key Outcomes and Business Benefits:
  • CoT have successfully eliminated the paper-based, double capturing of data in the field and again in the back-office
  • Improved quality of master data per citizen account, by virtue of more accurate meter reads/checks in the field as well as tighter controls on the credit and disconnection process
  • Benefits to the customers (citizens) of CoT Metropolitan region due to a more effective Credit Control process that is accurate and fair
  • Scheduling of remote field teams
  • Visibility and geo-location of assets and resources
  • Mobile enablement and printing at point of activity
  • Automated dispatch of work to the field
  • The Workforce Management Solution has highlighted the high operational cost and sub-standard service offered by service providers to the City.
By investing to Workforce Management, the City has been able to pull back control of a key Revenue Management Process, which directly benefits the City.

In an ever-changing and increasingly competitive business environment, building and entrenching a high-performance culture is critical to survive and thrive. Distell embarked on a highly transformative journey three years ago to be future-fit in terms of managing our talent. A cornerstone of this was building and entrenching this high-performance culture.
How did we transform?
How does SuccessFactors Performance and Goals help us in this journey?
How do we make it live in the hearts of our employees?
Our transformation started with the realisation that we are working in a very different talent landscape to even a few years ago and that we needed to up our game - in this extract I will concentrate on the transformative value we got in terms of our performance management execution, supported by SuccessFactors Performance and Goals.
Frankly, the business of performance management will never be the most exciting part of any manager's day - no matter now fancy the system is. It sometimes involves difficult conversations with corrective or development actions for employees and it is human nature to avoid this. Distell's transformative journey in this sphere was designed to address a fragmented business process which was managed via a paper, manual system. The past reality made it very difficult to test compliance to the process. Compliance, however, is only one aspect. This needs to be important to employees and managers too.
One of the key outcomes of our initial business case was to adopt 'pay-for-performance' rigour. In the past, employees may have had the impression that the performance assessment was a 'tick-box' exercise and it could have created some cynicism about the process.
In response to this, we went about searching for an appropriate piece of technology to support this but also underwent the critical work of business process realignment.
The major value that we got from our journey so far is we went from low compliance levels in terms of the performance management processes to an auditable compliance level of over 90% in our first year of deployment.
Additionally, it was the first year that we could implement 'pay-for-performance' rigour as we were reasonably sure of employee and manager compliance to the process.
Lessons include:
  • Not everyone wants to transform... don't take it personally.
  • Employees and managers need help to understand how they fit into the process and the value of completing the exercise.
  • Work hard on stakeholder engagement and adoption via a well-crafted change management plan - invest more than you think you need and in retrospect, we could have done more.
  • Employees and managers need help with the new technology, so be patient.
  • Be agile and adaptable to change.
  • Go slow: implement, embed with a group of pilot users, work out the bugs and then deploy enterprise wide.
